How to Respond When Aspen Practicum Hours Fall Behind
Being behind on Aspen practicum or immersion hours does not always mean you need a new preceptor. First identify whether the gap comes from scheduling, missing ProjectConcert records, approval limits, or a placement that cannot provide the planned experience, then ask your program for a compliant recovery plan.

Calculate the gap without changing the record
Compare the hours you actually completed under an approved arrangement with the hours Aspen currently recognizes. Use ProjectConcert entries, signed reports, schedules, and your approval letter. Do not backdate an entry, estimate a shift from memory as if it were verified, or recategorize ordinary employment as practicum activity. If the record is incomplete, label it as a documentation question rather than treating the time as accepted.
Write a short status summary: course, required hours, approved site and preceptor, hours completed, hours recorded, hours accepted if that is shown separately, remaining scheduled opportunities, and the course deadline. Send it to the appropriate faculty contact and the Office of Field Experience when approval or placement is involved. Ask which hours remain eligible and what documentation can properly support work that was completed but not fully recorded.
Separate four different problems
An hours deficit is a symptom. A scheduling problem means the approved preceptor and site still fit, but available time is too limited. A logging problem means eligible supervised work occurred but the ProjectConcert record or required report is incomplete. An approval problem means the planned activity, date, supervisor, site, or format falls outside the approved arrangement. A placement problem means the site or preceptor can no longer provide the experience needed for the project.
Do not solve one category with a remedy meant for another. More shifts will not correct an unapproved preceptor. A new site may be unnecessary when the only issue is an unsigned report. Entering more hours cannot fix a project that lacks the needed direct-care component or site access. The right diagnosis protects both the academic record and the time you have left.
Questions that identify the cause
- Scheduling: Can the approved site and preceptor offer enough appropriate time before the academic deadline?
- Logging: Are completed hours, signatures, and required reports current in ProjectConcert?
- Approval: Did the work occur after the approval letter and within the approved site, supervision, and project plan?
- Placement: Can this arrangement still support the specialty, project, and any required direct-care work?
Check the requirement for your Aspen program
Each MSN specialty requires 120 practicum hours. Administration and Management splits them between N550 at 40 hours and N586AM at 80 hours. Forensic Nursing, Nursing Education, and Public Health include at least 20 direct-care hours within the 120. Informatics and Administration do not have that direct-care minimum. A student can therefore be on pace for total time while still short of a required type of experience.
RN-to-MSN students complete undergraduate field experience before the graduate practicum, so they should check which program stage and course owns the gap. RN-to-BSN materials list N492 at 30 hours, N493 at 80 hours, and N496 at 10 hours, while an Aspen catalog heading states 110. Use the course breakdown and confirm the catalog applicable to you. DNP students complete 1,000 supervised immersion hours in eight 125-hour courses, with up to 500 verified prior precepted hours potentially approved and banked.
Ask for a written academic recovery plan
Your faculty and program determine what can be completed within the course, whether a schedule adjustment is permitted, and how missed requirements affect progression. OFE assists with placement questions, approvals, documents, and alternative locations. Send both a factual status and a proposed plan, but ask for confirmation before acting. A plan may involve added opportunities at the approved site, corrected documentation, a revised schedule, or a replacement arrangement.
Continue only within the approved scope. You need the applicable Practicum Approval Letter or DNP Immersion Approval Letter before beginning hours, including hours with a replacement preceptor or site. If a preceptor has withdrawn, pause and follow the replacement action plan. DNP students must also respect the IRB boundary and may not collect or analyze data before required IRB approval.
Treat ProjectConcert as an active record
Once an approved experience is underway, enter hours and required reports in ProjectConcert according to current instructions. Regular logging makes a scheduling gap visible while there is still time to discuss it. It also gives Aspen a clearer basis for answering questions when supervision changes or a report is missing. Keep supporting notes and signatures organized, but do not create duplicate entries to force the total upward.
If your own count differs from ProjectConcert, list the disputed entries by date and activity and ask how to correct them. Do not assume that all project research, meetings, employment tasks, travel, or preparation time qualifies. The approved course plan and Aspen's direction determine what can be recorded. Can I backdate Aspen practicum hours that I forgot to enter?
Do not backdate or recreate a record without direction. Preserve any real supporting evidence and ask faculty or OFE how to document eligible work accurately. Only Aspen can decide whether and how a late entry may be accepted.
Should I keep working while a placement change is pending?
Only continue within your current approved arrangement and written program direction. Do not begin with a new preceptor, site, or format until Aspen issues the applicable updated approval letter.
Does being behind mean I need a second preceptor?
Not necessarily. First determine whether the gap is scheduling, logging, approval, or placement related. A second or replacement preceptor helps only when Aspen approves that plan and the current arrangement cannot provide the required experience.
