How to Verify Liability Insurance for an Aspen Practicum

Professional liability insurance requirements can differ across Aspen, the practicum site, an employer, state rules, and an individual policy. Confirm each requirement in writing before placement, and treat policy questions as insurance or legal questions for qualified professionals, not assumptions a placement service can answer.

Understand what the question is asking

Professional liability insurance, sometimes called malpractice insurance in health care, addresses certain claims connected to professional services, subject to the policy's terms, limits, exclusions, and reporting rules. That general description does not tell you whether Aspen requires proof, whether a site sets a separate limit, whether an employer policy applies to student activity, or whether your proposed project falls within a particular policy.

Ask for the exact requirement rather than asking only whether insurance is needed. Useful details include the named insured, coverage type, minimum limits if any, effective dates, acceptable evidence, required endorsements, claims-made or occurrence form, and whether the policy must cover student practicum activity outside paid employment. These are technical insurance questions. Review them with the insurer, licensed producer, risk office, or legal professional responsible for the answer.

Check five sources that may set different rules

Start with current Aspen course, handbook, and OFE instructions. Then ask the proposed site for its student-placement requirements, not the employee onboarding list. If the practicum uses your workplace, ask human resources or risk management whether employer coverage applies when you are completing academic project activity and whether the activity must be off the clock or outside normal duties. Do not rely on a manager's informal impression of the policy.

State nursing and insurance regulators may publish general rules and consumer resources, but they do not interpret a private policy for you. Finally, review any individual policy with the company or licensed professional who issued it. A requirement from one source does not cancel another. A site may ask for evidence beyond the school's baseline, and an individual policy does not guarantee that the site will accept the placement.

The five-source check

  • Aspen and OFE: current academic and placement documentation requirements.
  • Practicum site: student coverage standards and acceptable proof.
  • Employer: whether workplace coverage applies to unpaid academic activity.
  • State authorities: applicable licensing or insurance guidance.
  • Insurer or licensed producer: the actual policy terms, dates, limits, and exclusions.

Do not confuse approval documents with coverage

Aspen approval materials can include a Site Affiliation or Practicum Site Agreement, signed Preceptor Agreement, preceptor CV and license report, student license report, Student Profile, and student CV. Those documents help establish the academic placement, but none should be assumed to prove insurance unless OFE or the site expressly says so. Ask which insurance document is needed and how it should be submitted.

You still need the applicable Practicum Approval Letter or DNP Immersion Approval Letter before beginning hours. An insurance certificate does not replace academic approval, and an approval letter does not rewrite a policy. Match the question to the practicum activity

Aspen's MSN specialties use project-based 120-hour practicums, not nurse practitioner rotations. Forensic Nursing, Nursing Education, and Public Health include at least 20 direct-care hours within the 120, while Informatics and Administration and Management do not have that direct-care minimum. A site or insurer may ask what you will actually do, what access you need, and whether the activity includes patient contact, teaching, data, workflow change, or observation.

DNP students complete supervised immersion tied to a DNP Project and require an approved site and on-site preceptor. Project access, leadership activities, and any data work should be described accurately. IRB approval is required before data collection or analysis, but IRB approval is not insurance coverage. Give the insurer and site a factual activity description and let them determine how their requirements apply.

Review documents before the start date

Check the insured name, policy period, coverage description, limits, and any site-specific wording against the written requirement. Confirm how renewals work if the practicum crosses the policy end date. Save the policy, declarations or certificate, endorsements, receipts, and written responses in a secure location. A certificate can summarize coverage, but the policy terms control what the insurance does.

Do not choose a carrier solely because another student used it, and do not assume the least expensive option meets the requirement. Does my employer's insurance cover an Aspen workplace practicum?

Only the employer and insurer can answer from the actual policy and activity. Academic work may be treated differently from paid duties. Ask risk management or human resources and obtain a written response before relying on employer coverage.

Will liability insurance make a site accept my placement?

No policy guarantees site acceptance or Aspen approval. Insurance may be one requirement among preceptor qualifications, site agreements, project fit, onboarding, and academic approval.
